TicketS & Bookings Policy
1. General
By purchasing a ticket or making a booking with Arcadia Games Ltd (“we”, “our”, “us”), you agree to comply with the terms set out in this policy. These terms apply to all guests attending our venue or events.
Arcadia Games Ltd operates Arcadia Hub, a weekday daytime coworking service, which may be subject to its own policies, rules, and operating procedures.
The terms outlined in this Ticket Purchase & Bookings Policy apply to all events and activities unless otherwise stated; however, guests using Arcadia Hub must comply with the specific policies published for Arcadia Hub, which may vary from those applicable to gaming sessions, events, or venue hire.
Where there is a conflict between this policy and the Arcadia Hub policies, the Arcadia Hub‑specific policies shall take precedence during coworking operating hours.
Arcadia Games Ltd reserves the right to amend or update Arcadia Hub policies independently of this document.
2. Safety Charter & Code of Conduct
All guests must always adhere to Arcadia Games Ltd’s Safety Charter and Code of Conduct while on the premises or participating in any activity or event.
Compliance with all Environmental, Health, Safety, and Welfare (EHS / EHSE) requirements is mandatory.
Guests must follow all instructions issued by Arcadia Games Ltd staff relating to health, safety, equipment usage, and responsible behaviour.
Non‑compliance with the Safety Charter, Code of Conduct, or staff instructions may result in:
refusal of entry,
removal from the venue, or
termination of participation in an activity,
without refund.
Arcadia Games Ltd reserves the right to deny access to any individual whose behaviour is deemed unsafe, disruptive, or in breach of these standards.
3. Age Restrictions
All guests must be 18 years of age or older, except in the case of events where it is explicitly marketed for younger ages.
Valid photo identification may be required as proof of age.
We reserve the right to refuse entry to anyone unable to present acceptable ID when requested.
4. Refunds & Cancellations
If you can’t make your booking, please message us as early as possible, so we can offer your spot to someone else.
All event ticket purchases and bookings are strictly non‑refundable, apart from the exceptions noted below.
This includes cancellations, no‑shows, or changes in personal circumstances.
The following exceptions apply:
Drop in D&D Adventurer’s Academy – these tickets are fully cancellable and refundable.
Private Room Booking Deposits – non-refundable but with a minimum of 1 week notice we can reschedule on request.
5. Ticket Reselling
For your convenience, we provide a dedicated “ticket-swap-and-sell” channel on our official Discord Server where you may offer your tickets for resale directly to other customers.
Resales must be arranged at original cost or less.
Because resales are arranged directly between customers, Arcadia isn’t able to mediate or take responsibility for the details of these private transactions.
We do encourage everyone to communicate clearly and take care when arranging payments or transfers — our team is always happy to offer general guidance if you’re unsure.
Tickets purchased using memberships or discount packages are not eligible for resale.
If you are unsure whether a ticket is eligible for resale, please contact us on info@arcadiagames.co.uk.
6. Venue Rules
No outside food or drink is permitted inside the venue at any time, except for medical reasons.
If you wish to discuss specific dietary requirements, please contact us at info@arcadiagames.co.uk.
Guests who fail to comply with venue rules may be refused entry or asked to leave without refund.
7. Amendments & Venue Rights
Arcadia Games Ltd reserves the right to modify, postpone, or cancel events where necessary (e.g., safety concerns, technical issues, or due to illness).
Where Arcadia Games Ltd cancels an event, we will offer an alternative date, venue credit or a refund at our discretion.
8. Acceptance of Terms
By completing a purchase or booking with Arcadia Games Ltd, you acknowledge that you have read, understood, and agree to abide by this policy.
