Membership Terms and Conditions

By activating a membership with Arcadia, the member acknowledges receipt of this Membership Policy and agrees to comply with all terms, conditions, rules, and procedures contained herein. Activation, use, or renewal of a membership constitutes acceptance of these policies in their entirety.

These rules are established to ensure fair access to membership benefits and event participation for all members. Arcadia reserves the right to interpret, apply, amend, and enforce these policies as necessary. Arcadia further reserves the right to modify, update, or replace these rules and membership terms at any time without prior notice.

Failure to comply with any provision of this policy may result in the assessment of fees, suspension of membership privileges, cancellation of reservations or tickets, or termination of membership benefits at the sole discretion of Arcadia. Continued use of membership benefits following any amendment to these rules shall constitute acceptance of the updated terms.

1.    Personal Use of Complimentary Tickets

a. Complimentary tickets are limited to one per member, per event, and may only be used by the member.

Complimentary tickets are a personal membership benefit and may only be claimed and used by the active member whose membership is associated with the ticket.

Members are limited to one (1) complimentary ticket per event and may not reserve, claim, or obtain additional complimentary tickets for the same event.

Complimentary tickets may not be used on behalf of another person, including family members, friends, guests, or non-members. A member may not claim a complimentary ticket and transfer it to another individual for use.

Any additional tickets required for guests or non-members must be purchased at the applicable ticket price. Violation of this policy may result in the cancellation of the ticket, suspension of complimentary ticket privileges, or termination of membership benefits.

2.     Membership Expiration and Event Eligibility

a. Events occurring after a membership expires require a paid ticket unless membership is renewed.

Members are eligible to receive complimentary (free) event tickets only during the active term of their paid membership.

The validity of complimentary tickets is determined by the member's current membership period. For example, if a membership is active from the 5th of June through the 5th of July, the member may receive complimentary tickets only for events taking place between the 5th of June and the 5th of July.

Any event scheduled after the membership expiration date requires the purchase of a ticket at the applicable non-member rate unless the membership is renewed before the event date.

Complimentary tickets may not be reserved, claimed, or transferred for events occurring outside an active membership period. Membership benefits expire automatically upon the membership expiration date and are reinstated only upon renewal.

Members who wish to retain tickets for events occurring after their membership expiration date may do so by paying the full applicable ticket price. Any complimentary ticket associated with an expired membership must be converted to a paid ticket at the standard rate unless the membership is renewed and remains active on the date of the event.

b. Membership Activation and Previously Purchased Tickets

Tickets purchased before the commencement of a membership are not eligible for a refund, credit, or conversion to a complimentary member ticket, even if the event takes place during the subsequent active membership period.

Membership benefits apply only from the membership activation date forward and do not apply retrospectively to tickets purchased prior to joining or renewing membership. Any ticket purchased before membership activation will remain subject to the original purchase terms and conditions and will not be refunded, credited, or exchanged on the basis of a later membership purchase.

3.      Transfer and Resale of Complimentary Tickets

a. Members must disclose any required venue fees to non-members receiving tickets.

If a member transfers, sells, or otherwise provides a complimentary ticket to a non-member, the member is solely responsible for informing the recipient that the ticket is subject to any applicable venue admission fees or ticket charges.

The recipient must pay the required amount directly to the venue or event organizer, as applicable. Failure by the member to disclose this requirement does not waive the venue's right to collect the applicable fee from the recipient.

Members who transfer complimentary tickets are responsible for ensuring that recipients understand and comply with all event admission requirements, fees, and venue policies.

4.      No-Show, Cancellation and Duplicate Reservation Policy

a. Members are responsible for payment of unused reservations and duplicate bookings.

Members who reserve a complimentary ticket and fail to attend the event will be charged the full ticket price as a no-show fee unless the reservation is canceled in accordance with the event's cancellation policy.

If a member reserves more than one complimentary ticket for the same event, whether intentionally or by mistake, any additional reservation beyond the permitted one (1) complimentary ticket will be subject to the full ticket price. Unused duplicate reservations may also be treated as no-shows and charged accordingly.

Members are responsible for reviewing their reservations and promptly notifying event organizers of any errors. Repeated no-shows, duplicate reservations, or misuse of complimentary ticket privileges may result in suspension or revocation of membership benefits.

b. Ticket Cancellation Policy

By purchasing a ticket using your membership account, you agree to the following conditions:

  1. Members who purchase and subsequently cancel three (3) tickets within any rolling one-month period will incur an administrative fee of £15.00.

  2. Upon the third cancellation within the applicable one-month period, the member's booking code and associated membership privileges may be temporarily suspended or blocked until the £15.00 fee has been paid in full.

  3. The suspended booking code will be reactivated once payment of the outstanding fee has been received and processed.

  4. Any member found to be repeatedly cancelling bookings, attempting to circumvent this policy, or otherwise abusing the ticket booking and cancellation system may have their membership suspended or terminated at our sole discretion.

  5. We reserve the right to take any reasonable action necessary to protect the integrity of our booking system and ensure fair access for all members.

By completing a purchase or booking with Arcadia Games Ltd, you acknowledge that you have read, understood, and agree to abide by this policy.
